Exhibitions: Resources for Curators of Library Exhibitions: Loans and Temporary Exhibitions

A guide to assist librarians, faculty, or students who are creating an exhibition in UCSB Library.

Loans

When a UCSB department borrows fine art or an exhibition of any kind, it should enter into a written agreement with the other party. Examples of such agreements are the Art Exhibition & Loan Agreement - UC as Borrower. An agreement documents the terms and conditions of the loan as well as the value of the art and who is responsible for insuring it. Submit a copy of the completed and signed Agreement to the Risk Management office prior to borrowing or loaning fine art so that it can be scheduled and insured. If an exhibit extends beyond six months then the fine art must be scheduled as part of the campus’ Permanent Collections.  Please visit UCSB Risk Management & Insurance for more information.

Exhibition Librarian to fill out loan agreeement form.  Procurement staff will sign on behalf of University. If Library is not paying for the loan, forward the contract to be signed to contracts@bfs.ucsb.edu and ask for a “paper contract file"  Once signed, send copy of form to Leticia Martinez and Katharine Hullinger at UCSB Risk Management.
