Zotero Basics: Group Settings

This guide includes a summary of our Zotero workshop, plus useful links to get you started.

Group Settings

Click on the Group Settings link to edit your group information, member settings, and library settings.

On the Group Information screen you can edit:

  • Group Name
    • Change the name of the group
  • Description
    • Add a description of the group
  • Disciplines
    • Select disciplines that describe the group
    • This is optional and only useful if it's a public group
  • Group URL
    • Link to your Group's website if you have one
  • Enable Comments
    • This might be useful for allowing group members to communicate with each other about the group
  • Transfer Ownership (for group owners only)
    • Use the new owner select tool and click transfer

Membership Settings

Click on the Group Settings link to edit your member settings.

On this screen you manage:

Adding Members

  • See a list of the group members
  • For closed groups, you must invite the group members and they must accept your invitation to join
  • For open groups, potential members request admission and you approve or deny their membership
  • Update the roles for each group member
    • Select the role and click on the "Update Roles" button
    • This is also how you can remove members from the group

Member Invitations

  • When inviting new members, it is best to use people's Zotero account names
  • If using email addresses, they must be those associated with their Zotero accounts
  • Invited members will receive an email notifying them of the invitation
  • They must log into their Zotero accounts to accept the invitation
    • Click on "Groups"
    • Look for group invitations at right and select "Join"

Group Roles

  • Use the Group Role option for each member to make them either an admin or a member
  • This is also how you remove group members

Library Settings

Click on the Group Settings link to edit your library settings.

On this screen you can control:

  • Group Type
    • NOTE:  Public open groups cannot use the file-sharing features of Zotero
  • Library Reading
    • Control who can see the items in the group library
  • Library Editing
    • Determine who can add, edit, or remove items from the group library
  • File Editing
    • Determine who can work with files stored in the group library
